Biobanks & biorepositories

Every aliquot located, every use consent-checked

HDLIMS tracks every specimen, aliquot and derivative from collection to distribution, linked to the donor’s consent, so your biobank can say exactly where a sample is, how it was handled and whether it may be used for a given study.

The challenge

The challenges we hear most

01

Samples you can’t find

Freezer maps kept in spreadsheets drift from reality after a freezer failure, a move or a busy week. Unlocatable samples waste donor contributions and storage capacity.

02

Consent is tracked somewhere else

Consent scope, restrictions and withdrawals sit in a separate system or on paper, so confirming that a request is permitted means manual cross-checking.

03

Pre-analytical variables go unrecorded

Collection time, time to processing, centrifugation and freeze-thaw history determine fitness for purpose, yet they are rarely captured consistently.

04

Distribution without traceability

Requests, material transfer agreements, pick lists and shipments are managed over email, leaving gaps in chain of custody once samples leave the building.

Capabilities

How HDLIMS supports Biobanking

Preconfigured workflows, terminology and reports for your industry, on the same unified platform.

Storage hierarchy

Model sites, rooms, freezers, racks, boxes and positions, with visual box maps, capacity planning and bulk moves by rack scan.

Donor consent management

Record consent version, scope and restrictions per donor, carry them to every derived sample, and act on withdrawals immediately.

Aliquots and derivatives

Parent-child lineage for aliquots and DNA, RNA, plasma, serum and tissue derivatives, with remaining volumes updated as material is used.

Pre-analytical and storage data

Capture collection and processing times, SPREC codes, freeze-thaw cycles and freezer temperature excursions against each sample.

Chain of custody

Every check-out, transfer and return is logged by barcode scan with who, when and where, across internal moves and external shipments.

Requests and distribution

Researchers submit requests, reviewers verify consent and MTA terms, and approved samples move through pick lists, packing and shipment tracking.

Workflow

From donor to distribution

  1. 1

    Consent

Donor consent and its scope are recorded and linked to every specimen collected under it.

  2. 2

    Collect

Specimens are registered with collection details and labeled with cryo-rated 2D barcodes.

  3. 3

    Process

Aliquots and derivatives are created with lineage, volumes and pre-analytical data captured at the bench.

  4. 4

    Store

Each tube is scanned into a freezer, rack, box and position, and every later move is logged.

  5. 5

    Distribute

Approved requests are checked against consent, then picked, packed and shipped with full chain of custody.

Regulations & standards

Designed to support your compliance program

HDLIMS provides the technical controls and records these frameworks call for. Compliance remains a property of how your lab configures and operates the system, and our validation package helps you demonstrate it.

FAQ

Biobanking: frequently asked questions

How does HDLIMS handle consent withdrawal?
When a withdrawal is recorded, every specimen and derivative linked to that donor is flagged at once, blocked from new requests and queued for destruction or return according to your policy. Samples already distributed are listed so you can notify recipients, and every action is recorded in the audit trail.
Can we import our existing freezer inventory?
Yes. Storage hierarchies and sample records can be imported from spreadsheets or a legacy system, with checks that flag duplicate positions and missing parent samples before anything is committed. Our migration services team can help with larger or messier datasets.
Does HDLIMS support ISO 20387 accreditation?
HDLIMS is designed to support the records ISO 20387 expects, including sample traceability, documented processing, storage conditions, equipment status, nonconformities and personnel competence. Accreditation is granted to your biobank by an accreditation body; the software supplies the evidence. See Compliance.
Can researchers request samples directly?
Yes. Researchers can search de-identified sample availability and submit requests, which are routed for scientific and access committee review. Approved requests generate pick lists and shipping documents, and requesters never see identifiable donor data unless you allow it.
