Meet every holding time and deliver defensible data

HDLIMS takes environmental samples from bottle order and field collection through login, batching, analysis and data review to client reports and EDDs, with holding times and batch QC enforced along the way.

The challenge

The challenges we hear most

01

Holding times expire quietly

Short-hold parameters like BOD, nitrate and coliform bacteria leave hours, not days. Without live visibility, samples miss their window and have to be qualified or recollected.

02

Batch QC is assembled by hand

Analysts build prep and analytical batches in spreadsheets, track method blanks, LCS and MS/MSD by hand, and discover missing QC after the run.

03

Every client wants a different EDD

State agencies, consultants and federal programs each specify their own EDD formats and valid values, and rejected deliverables come back to the lab to fix.

04

Assessments demand full traceability

TNI and ISO/IEC 17025 assessors expect to trace any reported result back to its chain of custody, standards, instrument, analyst and QC. Paper records make that a slow exercise.

Capabilities

How HDLIMS supports Environmental Testing

Preconfigured workflows, terminology and reports for your industry, on the same unified platform.

Electronic chain of custody

Bottle orders, field collection and sample receipt are captured on an electronic COC, including cooler temperature, preservation checks and condition on receipt.

Holding time management

Holding times are calculated from collection per method and analyte, with prep and analysis deadlines driving bench worklists and alerts.

QC batching

Build prep and analytical batches with method blanks, LCS, MS/MSD and duplicates inserted automatically, and evaluate recoveries and RPDs against control limits.

Method and analyte library

Configure analytes, reporting limits, MDLs and QC acceptance criteria per method, covering EPA, Standard Methods and ASTM procedures.

EDD export

Generate client- and agency-specific electronic data deliverables with valid-value checks before export, so formatting errors are caught in the lab.

Client portal and reporting

Clients order bottle kits, track sample status and download reports and EDDs from a secure portal, with data qualifiers and case narratives included.

Workflow

From field collection to final report

  1. 1

    Collect

Field teams collect samples against the bottle order and complete an electronic chain of custody.

  2. 2

    Receive

Login records cooler temperature, preservation and condition, and holding-time clocks run from collection.

  3. 3

    Batch

Samples are grouped into prep and analytical batches with the required QC inserted automatically.

  4. 4

    Review

Results are evaluated against QC and reporting limits, and qualifiers are applied where criteria are not met.

  5. 5

    Report

Final reports and EDDs are generated, checked and published to the client portal.

Regulations & standards

Designed to support your compliance program

HDLIMS provides the technical controls and records these frameworks call for. Compliance remains a property of how your lab configures and operates the system, and our validation package helps you demonstrate it.

FAQ

Environmental Testing: frequently asked questions

How does HDLIMS manage holding times?
Holding times are configured per method, analyte and matrix, and calculated from the recorded collection time. Worklists sort by time remaining, supervisors are alerted before a sample expires, and if a holding time is exceeded the result is flagged for qualification on the report.
Which EDD formats does HDLIMS support?
EDD templates are configurable, so you can match the column layouts, valid values and file formats your clients, state agencies and data management systems require. Valid-value checks run before export, so rejections are caught in the lab rather than by the recipient.
Can HDLIMS insert batch QC automatically?
Yes. Batch rules define which QC samples each method requires and how often, for example a method blank and LCS per batch of up to 20 samples plus an MS/MSD pair. HDLIMS inserts them when the batch is built, calculates recoveries and RPDs, and flags any batch outside control limits.
Does HDLIMS support TNI and NELAP accreditation?
HDLIMS is designed to support TNI Standard requirements, including traceability of standards and reagents, instrument calibration records, demonstrations of capability, MDL studies and corrective actions. Accreditation is granted to your lab by your accreditation body. See Compliance.
